POSITION SUMMARY
The Assistant Project Manager (APM) supports the Project Manager in delivering real estate development projects on behalf of the ownership entity. The APM assists in coordinating day-to-day project activities across pre-development, design, construction, and close-out phases, gaining hands-on experience in owner's representative project management.
This individual is expected to develop proficiency in all phases of the project lifecycle while providing critical administrative, logistical, and technical support to the project team. The APM must be detail-oriented, proactive, and able to manage multiple tasks simultaneously under the direction of a Project Manager.
KEY RESPONSIBILITIES
PRE-DEVELOPMENT & ENTITLEMENTS
- Assist in due diligence activities including document collection, site research, and agency coordination
- Support entitlement applications: prepare submittal packages, track review timelines, and coordinate responses
- Maintain and organize project files, permits, and regulatory correspondence
- Assist with updating project pro formas and tracking soft cost budgets
DESIGN MANAGEMENT
- Coordinate design team communications and track deliverable schedules
- Assist PM in preparing and distributing agenda and minutes for design review meetings
- Maintain design document logs; track issuance of SD, DD, CD, and permit sets
- Route design documents to ownership for review and track approval status
PROCUREMENT & CONTRACT ADMINISTRATION
- Assist in preparation of RFP packages and bid comparison matrices
- Maintain contract files, executed agreements, and insurance certificate logs
- Track owner-direct vendor deliverables, submittals, and contract milestones
- Support the GC in subcontract coordination as directed by the PM
CONSTRUCTION OVERSIGHT
- Attend OAC meetings; prepare and distribute meeting minutes and action item logs
- Maintain RFI and submittal logs; track response timeframes and flag overdue items
- Assist in reviewing monthly pay applications and schedules of values for completeness
- Conduct regular site visits to document progress, quality, and open items
- Coordinate logistics for owner-furnished items and FF&E delivery schedules
BUDGET & FINANCIAL OVERSIGHT
- Assist PM in maintaining and updating total project cost reports
- Prepare change order logs and track status of pending and executed changes
- Compile data for monthly ownership reports including cost, schedule, and risk summaries
- Coordinate lender draw documentation and assist with inspector visits
PROJECT CLOSE-OUT
- Track and manage punch list items through to resolution
- Coordinate collection of close-out documents: as-builts, O&M manuals, warranties, and attic stock
- Assist in scheduling and documenting commissioning and systems training activities
- Support TCO and CO coordination with the GC and municipal agencies
QUALIFICATIONS
EDUCATION & EXPERIENCE
- Bachelor's degree in Construction Management, Architecture, Civil Engineering, or related field required
- 0-3 years of experience in construction, real estate development, or project management; internship experience with a GC, developer, or owner's rep firm a plus
- Exposure to ground-up construction projects preferred
TECHNICAL SKILLS
- Familiarity with project management platforms: Procore, MS Project, or equivalent
- Basic understanding of contract structures and construction documentation
- Ability to read and interpret construction drawings and specifications
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
